Summary

To provide critical administrative and operational support to the Trade Compliance Specialist. This role focuses on accelerating the trade permit lifecycle by compiling records, auditing documentation, and managing regulatory data entries.

Detailed Description

Performs tasks such as, but not limited to, the following:

  • Permit Data & Document Gathering: Follow up with Procurement and Project Management teams to collect invoices, datasheets, and item photographs for regulatory applications.
  • Pre-Audit Trade Invoices: Verify supplier invoices for mandatory fields (shipper details, PO numbers, functional descriptions, weights, and Country of Origin).
  • Regulatory System Support: Draft entries and track statuses for import permit workflows (e.g., e-Permit/MITI) to minimize delays.
  • System Data Maintenance (SAP GTS): Monitor tracking systems for restricted parts and process synchronization routines (e.g., ZMATPUSH) to update ECCN classifications.
  • Logistics & Broker Coordination: Distribute approved documentation to clearance agents and freight forwarders (DSV, DHL, Morrison, CZE).
  • Record Keeping & Compliance Logs: Maintain compliance trackers for permit balances and archive shipping dossiers for audit visibility.

Knowledge/Skills/Competencies

  • Education: Diploma or Bachelor’s degree in Supply Chain, Logistics, International Trade, or Business.
  • Experience: 2–5 years in shipping or import/export logistics. Experience in electronics manufacturing is an advantage.
  • Technical Knowledge: Familiarity with Malaysian customs (K2 declarations, FIZ/LMW, SST/Duty exemptions) and proficiency in SAP and Microsoft Excel.
  • Competencies: Strong attention to detail, persistent communication for cross-departmental follow-ups, and the ability to organize complex data under tight deadlines.

Physical Demands

  • Duties of this position are performed in a normal office environment.
  • Duties may require extended periods of sitting and sustained visual concentration on a computer monitor or on numbers and other detailed data.
  • Repetitive manual movements (e.g., data entry, using a computer mouse, using a calculator, etc.) are frequently required.
  • Occasional travel may be required.

Typical Experience

  • Zero to two years of relevant experience.

Typical Education

  • Bachelor's degree in related field, or consideration of an equivalent combination of education and experience.
