Summary

Reporting to the Operation Manager/Lead, the Operation Support Administrator is responsible for all procurement activities, coordinating, controlling and reporting inventory for the business unit. Executes the process for receiving, checking and stocking components/parts. This is a very dynamic and fast-paced work environment.  A high degree of initiative and commitment are essential. 

Detailed Description

Performs tasks such as, but not limited to, the following: 

  • Procures goods and services in support of the business operations.  
  • Reviews requisitions, contacts vendors, gets quotations, examines bids and initiates procurement procedures.
  • Ensures on-time delivery, purchase price variance and inventory management. 
  • Coordinates, controls and reports inventory of the business operations. 
  • Tracks, controls, records inventory movements and ensures data integrity. 
  • Produces monthly reports of inventory. Balances inventory results with financial records. 
  • Tracks inventory issues and assists in implementing action plans, works with team members in understanding and resolving issues. 
  • Supports physical inventory count process. 
  • Executes or coordinates the Cycle Count activities in site, resolving the discrepancies resulting from the Cycle Count, finding the problems that led to the possible discrepancies, taking corrective measures. 
  • Verifies the discrepancies in the inventory by coordinating physical checks and analysis. 

Knowledge/Skills/Competencies

  • Basic knowledge of equipment manufacturing environment, materials and processes.
  • Knowledge of procurement processes, inventory management and supplier management.
  • Knowledge of the types of materials and services being purchased by the department.
  • Strong knowledge of SCM policies, procedures and ISO standards.
  • Knowledge of computer applications and the ability to accurately perform tasks in relevant business applications.
  • Good analytical and statistical skills.
  • Good negotiation and problem resolution skills.
  • Ability to handle multiple tasks while maintaining attention to detail and accuracy and working under tight time deadlines.
  • Ability to communicate effectively, both verbally and in writing, with a wide variety of internal and external customers.
  • Industrial Mechanical qualification (knowledge & CAD skill) will be an added advantage.
  • Knowledge and experience of the SAP system will be an advantage. 

Physical Demands

  • Duties of this position are performed in a normal office environment.
  • Sustained visual concentration on small areas, such as monitors, screens, precise eye/hand coordination, sustained visual concentration on numbers, legal documents.
  • Duties may require manual movements of carrying, pushing or pulling light objects (under 5 kg). 
  • Willing to work in Kulim Hi-Tech

Typical Experience

  • Diploma/Certificate in a related field (Added advantage in Technical Education)
  • 2 years and above in similar field.
