Summary

Incumbents are fully qualified to execute job/role accountabilities working independently on most aspects of the job. Work is performed within established professional standards and practices. Tasks are moderately complex in nature where judgment is required to complete recurring assignments independently and to determine the best methods to follow to complete assignments. Erroneous decisions or failure to achieve results may have a negative impact on the divisions/departments operations, schedules, and/or performance goals. Works under general Supervision. Situations not covered by standard processes, procedures and methods are referred to manager or expert resource. May demonstrate work methods to new employees. Builds internal and external relationships, with emphasis on those that facilitate the achievement of job/role accountabilities, such as relationships with key suppliers, customers and internal service.

Detailed Description

Facilitate the end-to-end onboarding process, ensuring all internal approvals and compliance
checks are completed. This includes familiarizing oneself with the suppliers in our system
and ensure that already existent information is appropriately used for any incoming requests
Manage de-duplication of records and or actions for stakeholders in the supplier record
keeping or record creation process
Manage and audit changes to existing supplier records, including banking details, contact
info, and tax documentation to prevent fraud.
Ensure supplier records match what the company and the supplier agreed to as specific
terms & conditions
Maintain a centralized, "audit-ready" digital library of all supplier-related documents (W-9s,
ISO certifications, NDAs).
As the role matures, act as the gatekeeper for the Contract Management System (CMS), and
help monitor metrics such as Time-to-Onboard, Data Accuracy Rates, and Contract Renewal
Lead Times.

Knowledge/Skills/Competencies

  • Working knowledge of the marketplace conditions for the area of specialization including industry pricing,
  • technology and supply/demand trends.
  • Strong systems skills, including common office platforms such as MS Office and Access
  • Knowledge of purchasing practices and procedures.
  • Basic understanding of specific supplier requirements.
  • Good communication, negotiation and presentation skills.
  • An almost obsessive focus on data accuracy and completeness
  • Ability to handle multiple tasks while maintaining attention to detail and accuracy and working under tight time deadlines.
  • Ability to evaluate, prioritize and problem solve a variety of tasks to ensure their timely and accurate completion.
  • Ability to communicate effectively, both verbally and in writing, with a wide variety of internal and external customers.
  • Ability to consolidate, manipulate and analyze large quantities of data.

Physical Demands

  • Duties of this position are performed in a normal office environment.
  • Duties may require extended periods of sitting and sustained visual concentration on a computer monitor or on numbers and other detailed data.
  • Repetitive manual movements (e.g., data entry, using a computer mouse, using a calculator, etc.) are frequently required.

Typical Experience

  • Two to four years relevant experience.

  • Bachelor's degree in related field (Business or Engineering), or consideration of an equivalent combination of education and experience.
