Summary
As a Senior Technical Writer, you will act as the central information hub for the critical modernization of our core Supply Chain Management (SCM) applications. Operating within a global environment, your primary goal is to build and maintain a central knowledge base, S-SDLC artifacts and technical run-books to accelerate development, rapid onboarding and self-serve troubleshooting. In this highly proactive role, you will play a key part in the legacy rewrite project by capturing undocumented business logic and translating both complex technical elements and broad business concepts into clear, accessible documentation for both technical teams and business stakeholders.
Detailed Description
Senior Technical Writer, you will sit at the intersection of business and technology. You will proactively engage with development teams across three global regions (North America, Europe and Asia) and business stakeholders in Toronto to extract, structure and maintain critical project information. Moving beyond traditional technical writing, you will pioneer the curation of an intelligent Knowledge Base to empower teams and users with instant, accurate answers.
Whether you are clarifying technical specifications, documenting end-to-end business processes, creating architectural flowcharts for management presentations or aligning project artifacts with corporate compliance methodologies, your exceptional organizational skills will bring clarity to a complex ecosystem. You will not wait for information to be handed to you; instead, you will actively participate in technical discussions to understand the system rewrite and proactively identify documentation gaps.
Performs tasks such as, but not limited to, the following:
- Build, architect and maintain a comprehensive central knowledge base to support software development, rapid developer onboarding and self-serve troubleshooting;
- Actively participate in Agile ceremonies, technical discussions and requirements alignment sessions to understand the context of new .NET features and the Java legacy rewrite;
- Proactively interview subject matter experts, developers and business stakeholders to extract and document undocumented business logic, core concepts and end-to-end operational processes from legacy systems, ensuring critical knowledge is preserved;
- Translate complex technical concepts, data flows and business processes into clear visual diagrams (using Lucidchart, Visio or Mermaid.js) and high-level management presentations;
- Clarify and document both technical specifications (e.g., API documentation, system architectures) and functional business processes, bridging the communication gap between business needs and technical execution;
- Create and maintain a variety of corporate artifacts, including User Guides, Release Notes, process overviews, S-SDLC (Secure Software Development Life Cycle) documentation and technical run-books;
- Act as the gatekeeper for incoming project documentation, ensuring all materials sent by diverse teams are logically categorized, version-controlled and aligned with corporate standards;
- Proactively evaluate and propose modern documentation tools, templates and industry best practices to continuously improve how knowledge is captured, stored and consumed across the organization;
- Manage the documentation lifecycle, regularly reviewing, updating or archiving outdated materials to ensure the knowledge base remains a single source of truth;
- Spearhead the content structure for an AI-powered knowledge base, organizing and formatting documentation so it can be easily ingested and queried by modern AI tools (to support both developers and end-users);
Knowledge/Skills/Competencies
- Minimum of 5 years of professional experience in Technical Writing, Knowledge Management, IT Business Analysis or a related role within a complex software development environment;
- Exceptional written and verbal English skills, with the proven ability to document both technical specifications and high-level business processes, translating complex system logic into clear language and vice-versa;
- Proficiency in document management and collaboration tools (e.g., Google Workspace / Google Drive, ETQ or similar Quality Management Systems), with a strong ability to structure and organize large volumes of information;
- Familiarity with modern documentation practices (e.g., Confluence, Azure DevOps Wiki, Docs-as-Code or basic Markdown) with the readiness to propose and champion new tools for future system implementations;
- Hands-on experience creating flowcharts and process diagrams using tools like Lucidchart, Visio, Mermaid.js or PlantUML;
- Solid technical foundation to comfortably navigate development discussions; basic ability to read and understand programming concepts (exposure to Java or C#/.NET is a strong asset) alongside basic familiarity with SQL (to check data schemas), APIs and S-SDLC frameworks is highly valued;
- Familiarity with AI tools and concepts (e.g., how to structure text data for AI parsing, prompt engineering basics) with a strong desire to build intelligent, searchable knowledge systems;
- Highly organized and proactive mindset, capable of independently managing multiple documentation streams from diverse global teams without requiring constant supervision;
- Maintain daily alignment with management and cross-functional teams in Europe;
- Demonstrate flexibility to actively collaborate with business stakeholders and technical teams in the Canada timezone (EST) and Asia;
- Understanding of Information Architecture (IA) to design intuitive folder structures and tagging systems;
- Understanding of Supply Chain Management (SCM) processes or ERP workflows is considered an asset (openness and willingness to learn these business processes is highly valued).
Physical Demands
- Duties of this position are performed in a normal office environment.
- Duties may require extended periods of sitting and sustained visual concentration on a computer monitor or on numbers and other detailed data.
- Repetitive manual movements (e.g., data entry, using a computer mouse, using a calculator, etc.) are frequently required.
Typical Experience
- 5+ years of experience in a similar role spanning technical communications, knowledge base architecture and business process documentation.
Typical Education
- University degree in one of the following: Computer Science, Information Technology, Business Administration, Communications or a related technical/business field;
